4 to 6 weeks
From our first briefing call to a signed offer. This is our shared target.
Why four to six weeks

Timing matters in this market

Cyber security is a small market in Japan. Good people are found quickly by other companies.

What we usually see:

  • Strong candidates talk to two or three companies at once
  • Many receive an offer within two to three months of starting to look
  • Current employers often make a counter offer

Four to six weeks is not a rush. It is enough time to meet the right people and make a careful decision.

Every company has its own approval process. We will plan around yours. Where a step can happen in parallel instead of one after the other, we will suggest it.

Our promise We will always tell you where the timeline stands. If something slips, you will hear it from us early, not late.

Step one

Let's block time to meet the market

Three hours now can save three weeks later.

Our request: two blocks of 90 minutes in the next two weeks.

We fill each block with three candidates, 30 minutes each.

This helps with the hire. It also gives you a clear view of the market today:

  • The salary level people expect now
  • Real notice periods
  • How candidates see your company and your team
  • Which skills are realistic to ask for
Why it helps Meeting six people in three hours makes comparison easy. Decisions become simpler and faster.

Step two

Sending interview invitations

Please email the candidate directly, and copy me in.

A simple change keeps things moving:

  1. You email the candidate with the proposed calendar invitation and time. In most cases the first proposed time works.
  2. You copy me on that email.
  3. I stay in the loop, and keep managing preparation, feedback and the offer.
Invitation template

Subject: Interview with [Company] - [Role] Dear [Candidate name]-san, Thank you for your interest in the [Role] position at [Company]. I would like to invite you to a first interview. I have sent a calendar invitation for: [Day, date, time] JST The interview will be 45 minutes, online. You will meet [Name, title] and [Name, title]. If that time does not work, please choose one of the times below: - [Day, date, time] JST - [Day, date, time] JST - [Day, date, time] JST I have copied Steven Li from Robert Half on this email. Best regards, [Your name]

What we still handle Candidate preparation, feedback, salary discussion, resignation support and the offer. Only the scheduling changes.

Step three

Choosing how we stay in touch

Email is fine for documents. It is slow for decisions.

During a live search, questions come up daily. A short message gets a faster answer than an email thread.

Please choose whichever suits you:

LINEMost common in Japan. Easy for quick confirmations.
LinkedInUseful if company policy limits other apps.
WhatsAppCommon for international teams.
Add me on LINE

line.me/ti/p/VFbxzpEPH-

Or save my number to your phone contacts and I will appear in your LINE friends automatically: +81 70 1422 1650

A simple rhythm to agree Shortlists reviewed the same working day. Interview feedback within 24 hours where possible.
If messaging apps are not allowed Some companies restrict them for security reasons. That is completely fine. A short weekly call, 15 minutes at the same time each week, works well instead.

line.me/ti/p/VFbxzpEPH-

Step four

Working together at the offer stage

In Japan, searches rarely fail at interview. The offer stage needs the most care.

Where we can help each other:

  • Move on the same day. A verbal offer first is enough. Paperwork can follow.
  • Expect a counter offer. We prepare the candidate before the offer is made.
  • Check bonus timing. Leaving before a bonus is paid costs the candidate real money. We will flag this early.
  • Plan a realistic start date. In Japan it usually takes six to eight weeks from accepting the offer to the first day.
  • Keep in contact before day one. A short message each week works well. Team introductions, a welcome note, anything.
One thing to consider A first offer at the bottom of the band is often read as a final position, not an opening one. We are happy to test the number with the candidate first, so there are no surprises.

The plan

Four to six weeks, step by step

The number of interview stages is yours to decide. This plan works with two or three.

Week 1
Briefing call, 45 minutes
We agree the requirements, salary range, panel and number of stages. We also walk through example candidates, so you can see the market before we start
Week 1
Interview time blocked
Two blocks of 90 minutes held in your calendar
Week 1
Shortlist sent
Three to five candidates, with salary noted
Week 2
First interviews
You invite the candidates directly, with me copied in
Week 3
Second interviews
Technical session or a scenario discussion
Week 4
Final meeting and decision
Verbal offer on the same day where possible
Week 4 to 6
Offer signed
Buffer for internal approval, documents and resignation support
If your process needs longer That is normal, and we will plan for it. What matters most is that the candidate always knows the next date.
